A complete, custom field-service ERP for a commercial fire-protection contractor operating across Tennessee, Alabama, and Kentucky since 1987 — far more than a website. One platform runs the whole business: CRM, a rate/itemized Bid Builder, project pipeline, scheduling and dispatch, mobile inspections with on-site signatures, invoicing with QuickBooks Online sync, purchasing, inventory, GPS fleet tracking, payroll, and a Claude-powered AI assistant.
Context & Objective
Bruhn & Bruhn ran a multi-crew fire-protection operation on paper, spreadsheets, and disconnected tools — estimating in one place, scheduling in another, inspections on clipboards, and accounting re-keyed by hand. The goal was a single system of record a field tech, a foreman, an estimator, and the office could all work from: quote to schedule to inspection to invoice to the books, with nothing re-entered.
Goals
Digitize every step of the service lifecycle for a licensed fire-protection contractor — sales pipeline, estimating, dispatch, inspections and deficiencies, job costing, invoicing, and accounting — with mobile-first tools for the field, role-specific dashboards for each crew type, real-time fleet visibility, and an AI assistant that answers operational questions in plain language.
Approach
One system of record, not a website
Bruhn & Bruhn runs the entire business on a single platform. A field tech, a foreman, an estimator, and the office all work from the same data — quote to schedule to inspection to invoice to the books — with nothing re-entered between systems.
Sales, estimating and the Bid Builder
A full CRM models companies, locations, and assets with per-asset inspection history and a customer portal. The Bid Builder estimates by rate or itemized method with material, labor, and equipment lines — including catalog-linked rental rate cards — and generates branded proposal PDFs whose math is shared with the live builder, so the numbers always agree.
Dispatch, inspections and the field
Jobs flow through a project pipeline into scheduling and dispatch, with role-specific dashboards for foremen, helpers, and inspectors. In the field, mobile-first inspections capture QR-tagged assets, deficiencies, and on-site customer e-signatures, then generate PDF inspection reports.
Back office and QuickBooks
Invoicing, purchase orders, and account matching sync straight to QuickBooks Online, and supplier quote emails are parsed and matched to the materials catalog automatically. Payroll, time-off, inventory and warehouse, vehicles with live GPS tracking, and equipment round out a complete back office.
AI assistant
A Claude-powered, voice-capable assistant answers operational questions across the whole dataset in plain language — from which jobs are unscheduled this week to customer and asset lookups.
Outcome
A production platform running the live business: thousands of completed, signed inspection records (4,400+ historical signatures migrated to private, signed-URL storage), estimating and invoicing that flow straight into QuickBooks, GPS-tracked crews, and role dashboards for foremen, helpers, and inspectors. Built on Next.js 16 + Supabase with Row-Level Security, it replaces a stack of disconnected tools with one system of record.
